We are a small business looking for an individual or a company to help streamline some of our internal procedures surrounding payroll and account reconciliation with clients and vendors.
We are currently outsourcing this task to a company in India however we now need an in-house solution which involves the creation of a customized application to meet our needs. We need the flexibility to manipulate data on the spot rather than waiting for our India partners to generate our required reports.
As a small business, we do not have a lot of capital to invest heavily on the software application designs needed for this task. We are looking for someone to help generate a bid which we would then discuss payment terms either upon completion of the project or at specified and agreed time intervals.
A quick rundown of what would be involved:
1. We need a script that will pull a daily PDF report from an Oracle database using a login and password to a specified website. This report would then be saved to the same location each day, overwriting the previous version of the report.
2. A similar process would be used every day at a specified time to automatically generate a similar PDF report from the same password protected website.
3. This report is not accessible via any other means besides PDF (no XML, HTML or other raw data formats are available for this data). We have had difficulty parsing the data from PDF to Excel without losing some of the data integrity and formatting. Our India team is doing a great job, however the costs and bi-weekly turnaround times are no longer effective for our business.
4. We need the data in these reports to be extracted and compared with pre-set pricing rules and guidelines to ensure correct payments are calculated and to keep track of outstanding payments. For example: Reps in zip code 12345 will be paid $18 while the fee paid to our company will be $25. These determinations need to be set based on zip codes, rep names, locations etc. We also need to have flexibility in adjusting these prices at anytime.
5. These reports are used to pay our employees and contractors. The payment amounts to these individuals are based on zip codes and work order codes.
6. We need the flexibility to update the zip code tables and pricing on the spot and to easily manage the A/R and A/P data from these tables.
7. Another aspect that is needed when creating this system is to take our payroll data from our clients and import this data into the newly created system so that we can issue payments immediately to our contractors and employees. Rather than bi-weekly payroll, we need to manage when payments are made to our reps based on when we receive payments. Our payments are received via check and an email text is sent to confirm pricing for particular orders. We receive checks 1-3 times per week and we wish to process those checks and issue rep payments immediately.
